How athlete accounts work

Coaches invite athletes ages 13 and older, or share a team signup link that creates an individual account and roster entry for the sport chosen by the coach. Children under 13 may create school-authorized accounts only for schools that have confirmed authorization for LapRoster’s collection and use of student information for team participation. These accounts use a username and password, do not collect athlete email or phone numbers at signup, and do not enable athlete email or text messaging. Contact the coach for account help. The school authorization applies to educational team features, not marketing or purchases. Athletes use their own username and password. The public team signup form collects an athlete email address for team communication and account recovery; exact dates of birth are not required. Optional parent contact details are shared with the coach, but do not create a parent account or subscribe that parent to messages.

Information collected and used

We store signup contact details, school division, communication preferences and any explicit text consent, the roster link, username, selected age group on the invitation, salted password hash, hashed recovery code, sign-in sessions, and workout dates, distances, durations, types, effort ratings, and notes entered by the athlete. Shoe records include names, starting mileage, reminder mileage, and which runs used them. We calculate pace and mileage to show training progress. Security records use hashed network identifiers to limit abuse. Do not put medical information, home addresses, or other sensitive details in notes.

Schedule availability

Athletes can respond to practices and meets using their login. Coaches can create a private family link that allows a parent or athlete to respond for one roster entry. Links expire after 90 days and can be replaced or disabled by the coach. Anyone holding the link can view and update that athlete’s availability, so share it privately. We store the latest response, optional note, respondent type, and update time. Responses are visible to the coach and that athlete’s authorized respondents; they do not change attendance. Avoid medical or other sensitive information in notes.

Who can see it

The athlete can see their own training and shoes. The team’s account-owning coach can see workouts and notes while the athlete is on that team’s active roster. Other athletes and users of a shared team code do not have access to this training area. Shoe details are not included in the coach dashboard. Cloudflare processes the data to host and secure LapRoster. The operator can access records to provide support and meet legal obligations. We do not sell athlete data, use it for targeted advertising, or share it for others’ marketing.

This release does not connect to Garmin or COROS, collect GPS routes, or automatically enroll athletes or parents in email or SMS notifications. Any future watch connection will require a separate authorization and updated notice as applicable.

Parent choices and retention

Participation in the training log is optional. Parents may contact the coach or the operator to review, correct, or delete their child’s training data, withdraw permission, or stop further collection. We verify the requester’s relationship before responding. The coach can immediately delete the athlete training account and its workouts, shoe records, invitations, and permission details. Existing team roster, race video, and timing records are separate; include those in a request if you want them reviewed or removed.

Training records are retained while the training account is active. Unused invitations expire after seven days; sessions last at most seven days. We delete training accounts and their records after 24 months without a training sign-in or training update. Expired invitations and sessions are removed by maintenance. Parents may withdraw school-authorized participation by contacting the coach or LapRoster to stop collection and request deletion.

Athlete terms

Use only your own invitation and account, provide accurate age information, keep your password and recovery code private, and log your own activities. Your coach can read your workout notes. Shoe reminders reflect a mileage threshold you choose, not advice about injuries or shoe safety. Training tools are not an emergency or medical service. Contact your coach or parent directly about health or safety concerns.
